ALL FORMS ON THE PARENT PORTAL MUST BE COMPLETED BEFORE YOUR CHILD CAN START AT OUR PROGRAMS.

Here's your to-do list:

  • Log in to the Parent Portal HERE

  • Click on Forms then select your camper, forms need to be completed for each individual camper. SACC Medical Forms do not need to be signed by a doctor unless your child will be taking medication at our programs OR if they have an allergy listed OF ANY KIND.

  • If your child has any kind of allergy, CLICK HERE to download the Anaphylaxis and Allergy plan that must be completed before your child begins with us.

  • If your child has any kind of special health need, even including things like ADHD, or if they receive services in school, we will complete an Individualized Health Care Plan with you.

  • If your child will be taking any kind of medication with us, please complete THIS FORM with your doctor and return it to us BEFORE your child begins our programs.

  • In the Standard Forms section, please complete the Tell Us About Your Camper section and go through the Camper Rules section with your camper.

  • Send a note in to your child’s teacher and the front office of the school, letting them know what your child’s schedule is for the after school program.

The "Tell us about your camper" section is a great place to give us info about how we can best set your camper up for success!

Illness Procedures

Please do not send ill children to Camp! If a child becomes ill while at Camp, they will be send to one of our staff members who is trained in first aid and CPR and potentially sent home from Camp.

If your child has a fever or is vomiting, we require 24 hour fever or vomit free without the use of medication before they come back to Camp. If a child does not have a fever or is not vomiting, please make sure their symptoms are improved before sending them back to Camp and consider sending them in a mask.

Drop Off and Pick Up Procedures

 

Drop Off:

Drop off starts at 6:30am. The George Fischer Middle School Bus will pick up their students at 7:13am, (route #003), the Matthew Paterson bus will pick up at 8:39am, (route #008), the bus for the Kent schools will pick up at 8:40am, (route #005).

Drive slowly and carefully.

Pull in the driveway at the entrance to Camp Herrlich, drive up the driveway on the right hand side, past Schweiger and around the driveway and turning circle in front of the HERC. You can stop in front of the double doors. Please do not allow your children to get out of the cars themselves, our staff will come and take them out and check them in. You may be directed to drive all the way to the doors of Schweiger, if the weather dictates.

Once all of the children are safely out of the driveway, we will let your car go, down the left hand side of the driveway, and out the left side of the fork by the guard house. Please be mindful of other traffic as you are leaving the property.

**On their first day of the program, you must send a note to your child’s teacher and the main office letting them know that the child will be attending the Camp Herrlich After School Program and should get on the bus to go to Camp.**

Please make sure the school AND your child knows your child’s schedule.


Pick Up:

Same traffic directions as drop off as far as how to drive up to the HERC. The George Fischer Middle School Bus will drop off the students at 2:50pm, (route #138). The bus from the Kent schools will drop off the students at 4:03pm, (route #137). The bus from Matthew Paterson will drop off the students at 3:40pm, (Camp Herrlich Shuttle).

We will be using Car Cards like we do in the summer! This is a card that shows you are authorized to pick up your camper. They are available in the green mailbox on the guard hut at the base of our driveway, or you can pick them up at the HERC office anytime, you can even use your car card from Summer 2023. If you do not have a car card, you will be asked to show ID and it will be checked against the authorized pickups you have put in the system. You can have as many cards as you like for whoever is picking up your child.

Display your car card on the dashboard of your car with your campers' names clearly written in marker. We walkie-talkie the names to the groups. The children whose names are called will either proceed to the front of the HERC where we load them in your car or you will be directed to drive around to the doors of Schweiger Hall where the elementary school children have their home base to pick them up.

If a car does not have a car card, we will check ID. If the ID does not match a name we have on the authorized pickup list, we will pull the car over until we can get hold of the parent or guardian. If you want to add names to your pickup list, you can do so right on the portal, call, or e-mail.

We will put your child in your car and off you go!

Program Hours and Days of Operation

The Camp Herrlich Before and After School Programs will be open for all scheduled school days.  

As best we can, for delayed openings and early dismissals due to weather, our program will operate on the same schedules as the schools – 2 hour delay we will open at 8:30am, 3 hour delay we will open at 9:30am, early dismissal, we will take the children off the busses and generally ask that parents or family members pick up as soon as possible so everyone can get home safely. We will communicate this to you via e-mail and text message, PLEASE opt in to our e-mails and text messages through our parent portal.

You must have an emergency plan in place with the school’s main office, they ask for this every year.  In case of emergency dismissal, the school will follow your instructions.  Please be certain that your child AND their school know the emergency plan in the case of an unscheduled dismissal or program cancellation.  

We will not be open for scheduled school closings (darkened dates on the school calendar). We may offer full day vacation camp programming on those days, check THIS PAGE for Vacation Camp dates!   

The After School Programs will be open for any scheduled half days. So far, those are:
11/20 and 11/21 - All grades
11/30 - K-4 only
12/1 - K-4 only
2/16 - All grades
3/7 and 3/8 - K-4 only
6/21 and 6/24 - K-4 only
6/25 and 6/26 - All grades


If your child will be absent from the after school program, you must notify us. If a scheduled camper does not get off the bus on their scheduled day, we will call you.

Schedule Changes

We understand that sometimes your schedule may change.  When you must change the schedule of your child in the program we are very flexible; however you must notify us at least a week in advance if your child will be changing the days they are registered in the program.  You must also notify the school and transportation of the change in days. 

To make a schedule change:

1.         E-mail the Camp Office - registrar@campherrlich.org to notify us. Please put what you are e-mailing about in the subject line, ie: “Schedule Change for After School.”

2.         Write a note to the school, make sure to copy the main office in case your child’s teacher is out or unable to check their e-mail. 

3. E-mail CCSD transportation - transportation@carmelschools.org - to let them know if your child needs a bus stop change.

Drop Ins

Camp Herrlich needs to know as far in advance as possible if your child is dropping in so we can have enough staff. We need at least 24 hours notice. Please e-mail registrar@campherrlich.org with any drop in dates, morning or afternoon.

For AFTER SCHOOL drop ins, you will also have to loop in transportation and your child’s school. If your child is dropping in for after school please do the following:

1.    E-mail Camp Herrlich – registrar@campherrlich.org and put “Drop In” in the subject line of the e-mail.

2.    E-mail transportation – transportation@carmelschools.org

3.    E-mail or send a physical note in to your child’s school. Don’t rely on teacher e-mails for this in case they are out or at meetings, make sure to include the front office staff as well.

Procedures for Bad-Weather Days:

 If school is closed for a snow day, the programs are closed.

For early dismissals – we will be open to receive the children off their busses. We will ask parents to get to the program to pick up as soon as they can so everyone can get home safely.

For delayed openings  - we will operate on the same delay as the school. 2 hour delay, we will open at 8:30am, 3 hour delay, we will open at 9:30am. This will be dependent on our ability to get our driveways and walkways cleared so that people can get in and out safely. We will communicate any changes to you via e-mail and/or text!

Please make sure that you have reviewed your emergency dismissal procedure with your child!  It is important that they know what to do if school is closing early.  Please submit your Emergency Dismissal Procedure plan to the school at the beginning of the school year.

In order to assist you, you can do the following things to check for school, before school, and after school closings: 

  • Make sure that you are getting the automated calls from the district office. 

  • Check your e-mail, we will send you one as soon as we know what is happening.

  • Make sure you are getting our e-mails, add @campherrlich.org to your approved senders list

  • Opt-In to text messages through the Parent Portal
